Privacy Policy

Privacy
We take very seriously the personal relationship that exists between the company, its staff, and tutors, and our clients and their children. We never share any information about our clients with anyone outside the company. The only people inside the company who have access to your personal information are the director and the tutor who need the information to provide tutoring services.

Independent Contracting
Our tutors have agreed not to contract independently with any U Matter Tutoring, LLC client, past or present, as a condition of their service. Clients for their part, in accepting our services, agree that they will not independently contract with any of our tutors. Any independent contracting between the client and tutor, either while the tutor is commissioned for U Matter Tutoring, LLC, or at any point thereafter, is a breach of our agreement.

Tutor Conduct
U Matter Tutoring, LLC takes very seriously its responsibility to clients and makes good faith efforts to screen all of its tutors and select only the most responsible and reliable individuals to deliver our educational services. Nevertheless, all of our tutors are independent contractors, and Lexington Tutoring is therefore not liable for their speech or behavior. This exclusion includes during tutoring sessions, in transit to and from tutoring sessions, and the periods in-between tutoring sessions.

Do you charge for travel time?
No, if you are in or within a 25-mile radius of Jackson, MS. Even if you are not within a 25-mile radius of Jackson, MS, we can sometimes provide sessions with no travel charge, otherwise, charges will be handled on case-by-case basis.

Can you tutor somewhere other than my home?
Yes, a client and tutor can agree to meet in a secure, disclosed location that is conducive for learning to occur.

What if I need to miss or reschedule my first session?
If you need to cancel or reschedule (or change the length of) your first session, please call our director, Stephanie R. Wales—Insert business phone here –

What if I need to miss or reschedule a tutoring session**?

 While we understand that sports, doctor commitments and medical situations may arise rather spontaneously, we charge the full session fee for cancellations or changes to the length, time, or day of face-to-face sessions made with less than 24 hours notice by text message, phone call, or email to our office.
 We charge the full session fee for cancellations or changes to the length, time or day of Skype sessions made with less than 48 hours’ notice by text message, phone call, or email to our office.
 We charge half the session fee for face-to-face sessions rescheduled to Skype sessions at the same time as the previously scheduled session with less than 48 hours’ notice by text message, phone call, or email to our office if we are able to reschedule to Skype at that particular time.

 Any cancellation or request for changes to the length, time, or day of a session made with less than full notice by text, phone, or email to our office results in a cancellation fee equivalent to the full value of the canceled session (or, in the case of a shortened session, the time remaining on the session), regardless of the reason for the change.
 If you need to cancel or reschedule (or change the length of) your session within a few hours of your session, please call your tutor. You may be able to reschedule, but rescheduling is not guaranteed and the full cancellation charge will apply. Your tutor will contact the office to let us know about rescheduling situations and we will email you to confirm changes or suggest alternatives.
 We appreciate your courtesy and understanding regarding our cancellation policy.

**It is best to establish a regular schedule for coaching sessions. Our tutors run full schedules and can rarely accommodate last-minute changes, especially frequent ones.

Missed sessions should be made up the same week whenever possible so as to maintain the continuity and effectiveness of the tutoring program. Sometimes we are able to reschedule an appointment to a weekend morning or another after-school slot. If it is not possible to reschedule appointments, we recommend
extending the length of your next scheduled appointment, if possible.

If I am late for an appointment, will the tutor wait for me?
Yes, just call if you will be late, but the time missed will be counted as part of the session. Our tutors are expected to wait no longer than 20 minutes for late clients. It is the client’s responsibility to contact the tutor in case of lateness. The scheduled tutoring time will not be adjusted for clients who arrive late. If, for
example, a client arrives 10 minutes late for a 60-minute session beginning at 4:00 PM, the session will conclude as planned at 5:00 PM. Clients who arrive late will be charged in full for the tutoring session.

What is your policy concerning a tutor who is late to a session or who cancels a session the same day?
Please let us know if your tutor is more than 15 minutes late for a scheduled session, as we will credit your account for a full hour. If your tutor is more than 35 minutes late or if he/she cancels same-day, we will credit your account for the cost of the full session, unless another of our tutors is available to cover that session, in which case we will offer you a sub.

If I need to cancel frequently for reasons other than school holidays and religious holidays, will that
affect my work with you?

Once weekly slots are reserved for you, we turn down prospective students who might have taken them. When one of our students has no homework due, there is always skill-building or long-range work (e.g., flashcard drill, book reports and standardized test prep.). Therefore, we assume that all sessions will take place unless notified otherwise and we cannot commit to working long-term with school-age students who cancel frequently for reasons other than school holidays and religious holidays.

What is your policy concerning snow days?
Please assume that your appointment still stands in the event of snow. Even if the schools are closed, we  typically remain open. We will phone you if your appointment must be rescheduled due to extreme weather conditions. Please feel free to call our office—Insert business phone number here– if you have any questions about a snow day situation.

When are our payments due and to whom should they be made?
Payment, by check or cash, for your first session is due at the time of the session. You are welcome to schedule a few individual sessions in order to establish the effectiveness of the tutor. If you are looking for regular weekly appointments, however, we would encourage you to establish a weekly schedule as soon as
possible. We bill once per week for ongoing sessions by emailed PDF.

If you pay by check, please make your check payable directly to your tutor as explained on your invoice. If you pay electronically rather than giving your tutor a check at a face-to-face session, please send us an email when you post payment and tell us the amount posted and the date it is expected to arrive so that we can note that on your subsequent invoice. In the event of a returned check, we have found it necessary to charge a $5.00 handling fee in addition to the bank charge incurred.
